BUDDY VISA & TRAVEL
Terms & Conditions
These draft Terms & Conditions explain how Buddy Visa & Travel Co., Ltd. provides professional, personal assistance with visas, documents, immigration matters, travel arrangements, and related customer-requested services. They remain subject to owner and legal approval.
1. Service provider and individual assessment
The service provider is Buddy Visa & Travel Co., Ltd. The company's registered office address, company registration number, and the point at which a customer accepts these Terms must be confirmed before this draft is approved for publication.
Venus and Annie assess each case individually before work proceeds. The team explains the relevant requirements, expected service scope, and known costs so that the customer can make an informed decision. Requirements may vary by nationality, service, personal circumstances, and the rules applying to the case.
2. Customer information and documents
Customers must provide accurate, complete, genuine, and current information and documents and promptly tell Buddy Visa & Travel about relevant changes. The team will identify information or documents that appear to require clarification and will explain additional items or steps needed within the agreed service scope.
Buddy Visa & Travel may pause or decline work where information is materially incomplete, inconsistent, unsuitable for the requested service, or cannot be satisfactorily clarified.
3. Scope of assistance and communication
Depending on the agreed service, assistance may include reviewing information, preparing documents, explaining requirements and costs, coordinating appointments, communicating with relevant parties, arranging related services, providing progress updates, and assisting when additional documents or steps are requested.
Venus and Annie personally coordinate customer cases with support from the Buddy Visa & Travel team. The exact scope, customer responsibilities, charges, and any third-party expenses should be confirmed in the quotation, written agreement, or case-specific communication.
4. Professional assistance and official decisions
Buddy Visa & Travel is committed to providing professional assistance, careful document preparation, and ongoing coordination throughout each client's application process. We assess each case individually and explain relevant requirements before proceeding. While official decisions are made by the responsible authorities, our team remains committed to supporting clients throughout the agreed scope of service and communicating promptly if additional steps are required.
Buddy Visa & Travel is not an issuing authority and does not claim guaranteed approval, special influence, preferential treatment, or any improper arrangement with an authority or third party.
5. What Happens If an Application Is Unsuccessful?
If an application is unsuccessful, Buddy Visa & Travel will review the outcome and the information reasonably available, help the customer understand possible next steps, and assess alternative solutions where appropriate within the agreed service scope.
Any refund, credit, resubmission assistance, or treatment of expenses will be governed by the written agreement for the specific case and applicable law. An unsuccessful outcome does not automatically create a right to a refund, credit, or alternative approval, and no alternative result is guaranteed.
6. Fees and external expenses
Customers will be given a clear explanation of the service arrangement and known costs applicable to their case before proceeding. Government charges, embassy or consular fees, transport costs, school fees, translation costs, and other third-party expenses may apply depending on the service. Customers should review what is included and excluded in their written quotation or agreement.
7. Cancellation and refunds
We kindly encourage all clients to carefully consider their decision before confirming a service or making payment.
As certain services involve advance payments, document preparation, and processing expenses, some payments may be non-refundable once the process has begun.
Where a refund is possible, the amount will be assessed individually based on the work completed, expenses already incurred, and applicable terms and laws.
Our team will always aim to handle each situation fairly and transparently.
8. Appointments, travel, and deadlines
Customers are responsible for attending confirmed appointments, checking travel details, reviewing information prepared for their case, and supplying requested documents within the required timeframe. Buddy Visa & Travel will provide reasonable reminders, updates, and support within the agreed service scope. Customers should promptly report any change that may affect an application, appointment, or booking.
9. Personal information
Personal information is handled in accordance with the Buddy Visa & Travel Privacy Policy. Information may be provided to relevant authorities, embassies, consulates, technology providers, or other service providers when reasonably necessary to fulfil a customer-requested service and subject to applicable legal requirements.
10. Events outside reasonable control
Appointments, travel, government systems, embassy or consular services, transport, third-party platforms, and other services may occasionally be delayed, changed, suspended, or unavailable for reasons outside the reasonable control of Buddy Visa & Travel. The company will communicate material information known to it and continue to assist within the agreed scope where reasonably possible. The appropriate legal wording and remedies for such events require legal confirmation.
11. Customer responsibility and legal rights
Customers remain responsible for reviewing their information, complying with lawful requirements, attending appointments where required, and making final travel or immigration decisions. Nothing in these Terms is intended to exclude a right or responsibility that cannot lawfully be excluded. Any limitation of liability, complaint process, and dispute remedy must be confirmed by legal review before publication.
12. Questions, governing law, and updates
